Position: Clergy and Administrative Assistant

Reports to: Senior Rabbi, Cantorial Soloist and Executive Director

The Clergy Assistant’s primary duty is to provide administrative support to the Rabbi and Cantorial Soloist, and administrative support on an as-needed basis to the Rabbi Emerita.

This position requires multi-tasking, good communication and people skills, the ability to prioritize and take initiative with limited direction. Strong computer and organizational skills are a must, including the Microsoft Office suite and data management software. Knowledge of Judaism and exposure to the Hebrew language are a plus. Skill Set
Effective congregant service delivery by phone, via e-mail and in person
Professional demeanor and presentation appropriate for a synagogue and able to represent senior clergy (administratively) with those individuals, members, non-members, community leaders and professionals with whom clergy interact.
Ability to organize and prioritize
Excellent writing/proofreading skills
High proficiency in Microsoft Word, Excel, and Outlook
Ability to quickly learn and use other software programs (e.g., data base management tools, PowerPoint presentation software, MS Publisher, Hineynu life cycle management program)
High proficiency using office equipment (printer, copier, and postage machine)
Ability and willingness to play a meaningful role as a team member on Temple projects, including assembly of mass mailings, collation of documents, etc.
Meeting arrangement skills (notice, RSVP, room set-up)

Responsibilities of the Clergy Assistant

Clergy Correspondence and Communication
Answer office phones, take messages and convey information to the appropriate party in a timely manner
Follow up with clergy on tasks to be completed
Write/edit letters, thank you notes, lifecycle acknowledgments, inner-office memos
Make copies/scans for files; open, sort and prioritize incoming mail; facilitate distribution of special packages
Maintain lifecycle information to assist clergy in follow-up responsibilities
Obtain, compile, and transmit accurate data concerning hospital, nursing home, or home-bound congregants and alert clergy of all changes in a timely manner

Clergy Calendar
Maintain all aspects of Rabbi’s and Cantorial Soloist’s calendar, coordinating with the calendars of other parties where required
Schedule appointments (pastoral counseling, conversion, b’nai mitzvah preparations, etc.)

Serve as Liaison for Lifecycle events
Maintain appropriate paperwork, forms, certificates, calendars and files for each family/lifecycle
Schedule Mikveh, beit din, mohel, rehearsals and shiva needs; design, prepare, edit and copy any special service or handouts
Prepare materials, maintain student lists, and order books and supplies or other materials as needed as it relates to the Rabbi
Facilitate the maintenance of internal B’nai Mitzvah documents and lists

Shabbat
Prepare information weekly for services and yahrzeits
Work with clergy and families to prepare for B’nai Mitzvah (e.g., assemble gift, certificate, and confirm honors form with family) and other lifecycle events (e.g., baby naming, welcoming)
Prepare rabbi’s Shabbat folder

Holidays
Edit, prepare and copy special services as directed
Design and prepare congregant service folders
Prepare Yizkor list (Yom Kippur, Sukkot, Pesach, Shavuot)
Schedule and confirm travel arrangements for special guests
Arrange any special meetings or rehearsals.

Additional Duties Include
Maintain records related to the Rabbi’s Discretionary Fund
Maintaining records related to camp and Israel scholarship initiatives
Schedule and confirm travel arrangements for clergy
Run errands upon request
Maintain an orderly work area
Other duties as assigned

Development support
Assist the clergy, Executive Director, and lay leaders in the administration of the annual fund, including recordkeeping, donor acknowledgement, arranging appointments and list generation.
Enter information into databases or other programs. Generate periodic reports. Coordinate with Assistant to Executive Director who enters payments and pledges into congregational database.
Write thank you notes for donations of various sizes to be signed by various leaders of the congregation. Create automated templates for thank you notes. Establish and maintain procedures for sending notes on a regular schedule.
Execute mail campaigns in print and email from preparation of documents through mail merge to distribution by mail or email.
Conduct donor research.
